Role Description

VioletX is seeking a full-time Strategic Operations & Systems Lead to support operational execution across customer engagements, internal initiatives, and company-wide systems.

This role combines elements of operations, project management, systems thinking, and AI-enabled execution. You will work across teams to help improve how the company operates internally while supporting high-impact projects and initiatives.

You should enjoy both thinking strategically and executing at a detailed level.

Responsibilities include:

* Helping manage and organize customer and internal projects

* Building scalable operational workflows and internal systems

* Improving documentation, communication, and process organization across teams

* Using AI tools like ChatGPT, Claude, and Notion AI to improve workflows and operational efficiency

* Supporting leadership with operational planning, coordination, and execution

* Organizing timelines, deliverables, priorities, and team communication

* Creating templates, automations, dashboards, and operational processes

* Helping systematize how work moves through the company

* Identifying inefficiencies and improving operational visibility across teams

* Contributing to a fast-moving, highly collaborative operating environment

Qualifications

* 2–5 years of experience in operations, project management, consulting, startups, product coordination, or similar environments

* Extremely organized with strong attention to detail

* Strong written and verbal communication skills

* Naturally systems-oriented and process-minded

* Strong familiarity with AI tools such as ChatGPT, Claude, Notion AI, and modern productivity platforms

* Excited about using AI to improve workflows, automate repetitive work, and increase operational leverage

* Comfortable operating in fast-moving and sometimes ambiguous environments

* Able to balance strategic thinking with hands-on execution

* Strong sense of ownership and follow-through

* Curious, adaptable, and excited to learn quickly

* Comfortable working across multiple projects and priorities simultaneously

* Experience with tools such as Notion, Asana, Slack, HubSpot, Airtable, or similar platforms is a plus

* Familiarity with cybersecurity, compliance, enterprise operations, or trust infrastructure is a plus but not required

Work Environment

This role may be based in Los Angeles, CA or internationally for the right candidate. For team members based in Los Angeles, we operate on a hybrid schedule with in-person collaboration three days per week. Depending on the role, experience, and project needs, there is flexibility for remote work arrangements.
