ABOUT GENNIE STUDIO:

Gennie Studio is a pioneering AI-powered production company at the intersection of entertainment and emerging technology. We partner with major broadcasters, production companies, and independent creators worldwide to produce AI-generated and hybrid AI/live-action content across documentary, scripted, and unscripted formats. Our clients span the US, UK, Europe, and Asia, and our work has been featured in leading industry outlets.

THE ROLE:

The Founders Associate is a dual-function role: roughly half executive support and half strategic operator. You will keep the day-to-day running smoothly from managing calendars and inboxes to finances while also owning projects that move the business forward: building our financial infrastructure, driving business development, and synthesizing industry research.

This role is designed for an MBA student who wants more than a line on their resume. You will have direct access to the founding team, visibility into live deals and creative decisions, and the latitude to shape what this role becomes.

KEY RESPONSIBILITIES- CALENDAR & SCHEDULING MANAGEMENT

* Own and manage the CEO’s calendar across Google Calendar, Calendly, and Zoom, coordinating meetings with production partners, broadcasters, talent representatives, and clients across US, UK, and international time zones (PT, ET, GMT, IST, etc.).

* Proactively propose available time slots, send calendar invitations, and manage rescheduling when conflicts arise.

* Coordinate multi-party calls involving the Head of Production, CBO, CCO, Head of Technology, and external stakeholders.

* Ensure the CEO is prepared for each meeting with relevant context and materials.

INBOX & CORRESPONDENCE MANAGEMENT

* Monitor and manage the studio’s general inbox as the professional first point of contact for all inbound inquiries.

* Triage, prioritize, and forward relevant emails to the CEO and leadership team with appropriate context.

* Draft and send professional correspondence on behalf of the CEO and studio, including follow-ups, introductions, and meeting confirmations.

* Flag time-sensitive opportunities such as press inquiries, partnership requests, and industry event deadlines.

INVOICING & FINANCIAL ADMINISTRATIN

* Design and implement an end-to-end Accounts Receivable workflow: invoice creation, approval routing, client delivery, and payment tracking.

* Build a contract tracking system that logs all active agreements, key terms, expiration dates, and renewal windows.

* Prepare, obtain internal approval for, and send client invoices; follow up on outstanding payments with client finance contacts.

* Coordinate with the Head of Production and CBO on billing amounts and project milestones.

* Correspond with contractors to create and process 1099 forms.

* Manage QuickBooks for Gennie Studio and the CEO’s personal finances: tag expenses, reconcile bank and credit card accounts, and categorize charges on a weekly basis.

* Flag and resolve unrecognized or ambiguous charges with the CEO & CBO.

INDUSTRY EVENTS & TRAVEL COORDINATION

* Track industry conference and market dates; flag registration deadlines, early-bird pricing, and relevant programming.

* Coordinate travel logistics for team attendance at domestic and international festivals and markets, including flights, hotels, and visa requirements.

* Manage event-related follow-up correspondence after conferences.

BUSINESS DEVELOPMENT

* Support outreach and relationship management with studios, broadcasters, agencies, and technology partners globally; help qualify and advance inbound opportunities from first contact to deal handoff.

* Manage the deal pipeline: schedule follow-ups, track deal status, maintain CRM hygiene, and ensure timely outreach to prospects and partners.

* Draft pitch materials and partnership decks alongside the CBO.

AI & FILM INTEGLLIGENCE BRIEFING

* Produce a monthly briefing on the latest developments in AI and AI film — covering new tools, studio adoption, funding rounds, creative breakthroughs, and industry trends — distributed to the executive team and select external partners.

* Identify emerging trends and flag strategic implications for Gennie Studio’s positioning and roadmap.

* Build out a research library that becomes a durable competitive asset for the company.

GENERAL ADMINSTRATIVE SUPPORT

* Own cross-functional projects from scoping through delivery, creating structure where none exists.

* Establish and maintain operating rhythms — weekly standups, OKR tracking, and action item logs.

* Research and set up operational tools and software for the team (e.g., Calendly, ClickUp, project management tools, enterprise subscriptions).

* Maintain organized records of contracts, agreements, and key business documents.

* Handle ad hoc administrative tasks and special projects as assigned by the founding team.

QUALIFICATIONS REQUIRED:

* Currently enrolled in an MBA program (full-time, part-time, or executive).

* Exceptional organizational skills with the ability to manage multiple priorities across time zones without dropping the ball.

* Strong written communication skills with a professional, warm, and concise voice.

* Proficiency with Google Workspace (Gmail, Google Calendar, Google Sheets, Google Drive), Zoom, and QuickBooks Online.

* Experience with invoicing, basic bookkeeping, and expense categorization.

* Comfort working independently with minimal supervision in a fast-paced, founder-led environment.

* Reliable availability during Pacific Time business hours (core hours roughly 6:00 AM – 2:00 PM PT to accommodate international partners).

PREFERRED:

* Experience in the entertainment, media, production, consulting, or startup space.

* Familiarity with ClickUp, Calendly, or similar project management and scheduling tools.

* Experience supporting businesses with international clients and partners (particularly UK/Europe).

* Interest in AI, emerging technology, or digital media.

* Prior experience managing a company’s general inbox or serving as an external-facing point of contact.

WHAT SUCCESS LOOKS LIKE:

* The CEO’s calendar is always current, conflict-free, and optimized for productivity.

* External partners receive prompt, professional responses within 24 hours.

* Invoices go out on time, payments are tracked to completion, and QuickBooks is reconciled weekly.

* A functioning finance and contract tracking system is live within the first 60 days.

* A monthly AI & Film briefing lands in inboxes on schedule.

* Business development opportunities are tracked, followed up on, and never fall through the cracks.
