As we expand, we are hiring a driven Operations and Client Success Coordinator who thrives in detail-heavy work and loves keeping clients moving forward.

What You Will Do
Client Success and Communications (50%)
* Serve as the primary point of contact for our client roster
* Monitor Close CRM and OpenPhone daily for incoming messages and flag anything urgent to the founder
* Send credential request sequences and follow-up nudges at 48-hour and 5-day marks
* Audit Close each morning for draft emails that were never sent
* Maintain the "awaiting them" backlog so nothing goes silent for more than 48 hours
* Track KPIs, deliverables, and implementation milestones
* Guide clients through AI systems, workflows, and onboarding
* Identify bottlenecks and solve issues proactively to keep clients accountable
* Maintain high client retention, engagement, and satisfaction
Content and Onboarding Operations (50%)
* Manage Notion content boards for 10+ clients (kanban: Backlog, Review, Approved, Published)
* Run pre-publish checks on every piece of content: phone numbers, practice areas, years of experience, name variants
* Schedule approved content via Ayrshare for LinkedIn, Instagram, and Facebook
* Flag any content that looks legally sensitive or unusually specific before it goes live
* Set up platform access for every new client (GBP, Apple Business Connect, Bing, LinkedIn, Twitter/X, Yelp, WordPress)
* Troubleshoot failed invites, denied access requests, and missing credentials
* Duplicate the Notion onboarding template for new clients and seed it with initial content
* Send walkthrough Loom links and coordinate Cal.com onboarding calls
* Log call summaries, tags, and next actions in Close after every founder call
* Maintain pipeline tracking and flag stale prospects past follow-up thresholds
Tech Stack You Will Use
Close CRM (CRM, automations, client communication), Notion (content boards and client management), Ayrshare (social scheduling), OpenPhone (SMS and calling), Cal.com (bookings and onboarding), Fathom (meeting recordings), Google Workspace, Loom, Claude/ChatGPT (daily AI use required)
Experience with these tools is a strong plus.
What We Are Looking For
* Experience in client success, operations, or agency coordination
* Strong written communication skills (native or near-native English)
* Highly organized, proactive, and detail-oriented (you catch a wrong phone number before the post ships)
* Comfortable managing 10+ client threads simultaneously without dropping anything
* Ability to use AI tools daily -- this entire business runs on AI and that is non-negotiable
* Bonus: experience with social scheduling, legal/compliance content, or WordPress
