This role sits at the intersection of clinical care delivery and operational excellence, ensuring that mental health providers can focus fully on patient care while backend systems run smoothly and efficiently. You will coordinate clinician workflows, manage scheduling and onboarding processes, and support the integrity of clinical operations across a distributed care network. Acting as a key point of contact for providers, you will help maintain strong working relationships while supporting performance, compliance, and communication standards. The role requires both structure and empathy, balancing operational rigor with a human-centered approach in sensitive healthcare environments. You will also play an active role in identifying workflow improvements and enhancing both provider and patient experience. This is a highly collaborative, remote-first position within a mission-driven mental healthcare setting.
Accountabilities
* Coordinate and optimize clinical operations workflows, including provider scheduling, onboarding/offboarding, and system troubleshooting to ensure seamless care delivery
* Manage clinician calendars, align appointments, supervise scheduling quality, and identify opportunities to improve productivity and time management
* Support EHR and platform administration, including access management, technical troubleshooting, enrollment assistance, and chart closure processes
* Facilitate patient transfers, ensure continuity of care, and resolve operational issues affecting clinicians and patients
* Conduct clinician check-ins, provide ongoing operational support, and serve as a consistent point of contact for assigned care teams
* Deliver performance and compliance-related feedback to clinicians in a professional, empathetic, and solutions-oriented manner
* Monitor dashboards, reports, and clinical data to identify compliance gaps, documentation issues, and re-engagement opportunities
* Collaborate with cross-functional teams to improve workflows, resolve patient concerns, and maintain high-quality operational standards
* Ensure adherence to clinical SOPs, escalate risks or compliance issues, and contribute to continuous process improvement initiatives
Requirements
* 2+ years of experience in healthcare operations, provider relations, clinical support, or similar roles in a healthcare or clinical setting
* High school diploma required; degree in healthcare, business, operations, or compliance preferred
* Strong understanding of healthcare workflows, clinical operations, or mental health service environments
* Experience working with EMR/EHR systems (e.g., IntakeQ, Epic, Cerner) and CRM tools such as Salesforce is preferred
* Proficiency with Google Workspace and comfort using multiple digital platforms and operational tools
* Strong organizational skills with the ability to manage competing priorities and evolving workflows
* Excellent communication skills with the ability to interact professionally with clinicians and patients
* Comfort with delivering feedback, addressing compliance issues, and supporting performance conversations
* Analytical mindset with experience using dashboards or reports to monitor performance or operational metrics
* Strong interpersonal skills with the ability to build trust, collaborate, and support cross-functional teams
* Ability to work independently in a remote environment with a proactive and solution-oriented mindset
