Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary

This position provides comprehensive administrative support to director-level leadership and team members, ensuring seamless daily operations through expert calendar coordination, travel management, expense processing, and event logistics. The role requires a detail-oriented professional who thrives in a fast-paced environment while managing multiple priorities with precision and discretion. Working closely with leadership and cross-functional teams, this individual will serve as a trusted partner in maintaining operational excellence, handling confidential information with professionalism, and supporting critical business functions. The position offers the opportunity to work within a collaborative team environment where organizational skills, proactive problem-solving, and strong communication abilities directly contribute to team success and efficiency.

Job Responsibilities

* Manage four executive calendars with meticulous attention to accuracy, conflict resolution, and alignment with leadership priorities and commitments

* Plan and coordinate comprehensive travel itineraries for leadership and team members

* Process and reconcile expenses in a timely and accurate manner

* Coordinate logistical support for onsite and offsite meetings and events including townhalls, morale events, team training sessions, and leadership offsites

* Oversee team headcount processes, maintain organizational employee data, and manage security group ownership

* Provide team support including space management, office moves, new hire setup and onboarding, and procurement of equipment and supplies

* Maintain and update team collaboration tools including distribution lists, SharePoint sites, and other platforms for member communications

* Support the Executive Business Administrator with coordination of team meetings and organizational events

* Ensure compliance with all administrative operations policies and procedures

* Handle highly sensitive and confidential information with discretion and professionalism

* Complete special projects as assigned by leadership

Requirements

* Three or more years of experience in business administration or executive support managing multiple calendars

* Two or more years of administrative, business support, or customer service experience

* Demonstrated experience supporting director-level or senior leadership

* Experience with internal business applications and systems for expense management, procurement, and employee data management

* Executive calendar and meeting management with ability to prioritize competing requests and coordinate cross-team schedules

* Expense and vendor process execution including submission, tracking, and vendor onboarding and offboarding procedures

* Advanced proficiency with productivity software including Outlook, Teams, SharePoint, and OneDrive for document and workflow management

* Outstanding written and verbal communication abilities

* Strong organizational and interpersonal skills with ability to build effective working relationships

* Ability to work effectively under pressure while maintaining attention to detail

* Excellent time management with capability to prioritize work and complete projects on schedule

* Cultural awareness and experience working with global teams

* Proactive problem-solving and initiative-taking approach

* Ability to maintain confidentiality and handle sensitive information appropriately

Additional Details

* Location: Redmond, WA (Hybrid: 1-3 days/week Onsite)

* Duration: 5 months

* Pay Range*: $30 - $34 per hour

* Weekly Schedule: 40 hours

* Job Status: Non-Exempt
